Admin & Studio Manager Role

Location: Office based in Angel, London N1
Hours: 20 hours a week, flexible between hours of 9 - 5.30pm Monday - Friday

The successful candidate will play a critical role in supporting the operational and administrative aspects of the studio and teams to create an efficient and productive work environment. The job will be split between three organisations, who all share the same office base:

Guy Piper Architects (GPA) is a small studio of 4/5 designing residential properties in London, Oxford and Brighton. GPA will be the primary employer. 

National Student Pride (NSP)  is an annual weekend festival for students from all over the UK held in London in February. We have a team of 45 volunteers supported by two staff members and are in the process of setting up as a Charity. 

Architecture LGBT+ is a not for profit LGBTQ+ network for those working in Architecture, we run events, mentoring and networking and run by volunteers.  

The role
We are actively seeking a dynamic individual to join our studio, as part of our operations and team support. If your passion lies in streamlining processes and enhancing productivity, you might just be the perfect fit.  

Key responsibilities include:

Across all three organisations: 

  • Carrying out general administration

  • General email and phone enquiries

  • Email account management 

  • Database management

  • Account reconciling

  • Managing and paying team expenses

  • Invoicing & financial administration

  • Human resources including recruitment

  • Desk and meeting room management

  • Arranging meetings 

  • Ordering items for events

GPA Specific 

  • Office Manager

  • Research of sites and planning history

  • Document / letter writing

  • Timesheet analysis

  • Studio website and social media

NSP Specific   

  • Charity reports

  • Co-ordinating Advisory board and trustees 

  • General event assistance

Architecture LGBT+ Specific 

  • Contacting practices for sponsorship 

  • Liaison between UK chapters

  • Salary: Pro-rata up to £30,000 depending on experience

Requirements

You will play a critical role in supporting the operational and administrative aspects of the studio to create an efficient and productive work environment.

You will be happy to work in a team environment and have a can-do attitude. You will equally have the confidence to work using your own initiative.

You will have excellent written and verbal communication skills and ideally, you will have previous experience working in client-facing roles.

‘About you’:

  • Education at A-levels or equivalent (desirable) plus at least 3 years work experience

  • Or applicants who have demonstrable work experience of at least 3 years

Skills & Experience

  • Confident & professional communicator – both verbal & written 

  • Strong organisational & time management skills 

  • Fluency in written and spoken English is a prerequisite. (Essential)

  • Ability to work to changing priorities in a demanding environment 

  • Attention to detail and ability to maintain accuracy in administrative tasks.

  • Working knowledge of Microsoft Office Suite (Essential) and Google platforms. (Desirable but training can be provided)

  • Experience in Xero (accounting software) and Adobe Indesign (layout software) are Desirable, but not essential, training will be provided.
